Farmer Documents & KYC Center
The AgroOps Document Center is the central place where all farmer identity cards, bank details, land records, and crop certificates are stored, reviewed, and verified.
This guide explains which documents are required, who does what (roles), and simple step-by-step instructions so anyone on your team can manage documents without technical background.
1. What Documents Does AgroOps Require?
To onboard a farmer and approve them for seed distribution, crop subsidies, and produce procurement, AgroOps organizes documents into three simple categories:
A. Identity & Bank Documents (Farmer Level)
These prove who the farmer is and where payments should be deposited:
- Aadhaar Card: Front and back photos (or PDF). Both sides are required for identity check.
- PAN Card: Used for tax compliance, high-value procurement, and bank verification.
- Bank Passbook or Cancelled Cheque: Shows the account number, holder name, and IFSC code for direct payouts.
- Farmer Photograph: A clear, front-facing passport-style photo.
B. Land & Parcel Documents (Plot Level)
These prove where the farmer is growing crops and confirm acreage:
- Khasra & Khatauni: Official revenue/cadastral land records showing survey numbers and plot area.
- Land Ownership / Patta Document: Proves title deed or legal ownership.
- Lease Agreement: Required if the farmer is a tenant or leasing land from another landowner.
- Land Tax Receipt: Recent tax receipt showing active legal possession.
C. Agronomy & Quality Documents (Crop Level)
These ensure crops meet farming and market standards:
- Soil Test Report: Laboratory soil health card with pH, N-P-K, and organic carbon levels.
- Organic or GAP Certification: For farmers participating in certified organic programs.
- Crop Insurance Policy: Proof of crop risk coverage under government or private schemes.
2. Main Roles: Who Does What?
AgroOps divides document tasks so every team member has a clear, simple responsibility:

3. Understanding Document Status
Every document in AgroOps displays a simple color badge:
| Status Badge | Color | What It Means | Next Action |
|---|---|---|---|
| Pending Review | 🟡 Yellow | The document was uploaded and is waiting for review. | Admin or KYC Officer needs to review it. |
| Verified | 🟢 Green | The document was reviewed and approved. | Document is locked. Farmer KYC moves forward. |
| Action Required / Rejected | 🔴 Red | The document was rejected (e.g., blurry photo or name mismatch). | Field Officer or Farmer must upload a clear replacement. |
4. Step-by-Step Instructions
How to Upload a Document (For Field Officers)
- Open Farmers in the left menu and click on the farmer's name.
- Click the Documents tab (or Document Center).
- Find the document row you wish to upload (for example, Aadhaar Card or Khasra):
- For Aadhaar Card, upload the Front Side first, then upload the Back Side.
- For Land Documents, make sure you select the correct Land Plot from the dropdown before uploading.
- Click Choose File or take a photo with your phone camera.
- Click Upload. The status will immediately turn yellow (Pending Review).
Tip for multi-page documents: If a land record has 3 pages, click Add Another Page to attach all pages under the same document.
How to Review & Verify a Document (For Admins & KYC Officers)
- Navigate to Farmers > Document Center (or open any farmer profile).
- Click View Document to preview the full-size image or PDF.
- Check the details:
- Does the name on the document match the farmer's registered name?
- Is the ID or survey number clearly readable?
- Is the document active and not expired?
- Take action:
- If correct: Click Approve / Verify. The status badge turns green (Verified).
- If incorrect or unreadable: Click Reject. Select a pre-set reason (e.g. Blurry image, Name mismatch, Wrong plot number) and enter a helpful note so the field officer knows what to fix.
5. Tips for Good Quality Document Uploads
To avoid document rejections:
- Good Lighting: Capture documents under bright daylight or a well-lit room.
- Flat Surface: Place the document on a flat, dark table before taking the picture.
- No Glare or Flash: Avoid direct camera flash on laminated cards (like Aadhaar or PAN).
- All 4 Corners Visible: Make sure all four edges of the card or paper are inside the frame.
- Legible Text: Ensure the name, dates, ID numbers, and stamp are sharp and easy to read.
